Hosting Considerations
Town Hall for Hope is almost here! Please review these last-minute housekeeping items to make sure you're ready to go. You will want to pay close attention to the new pre- and post-event footage information!
Parking:
- Make sure you have enough parking available for a full house.
- Contact neighboring businesses for permission to use their lots for overflow parking if you think you'll need it.
- Book parking attendants for public streets, if applicable.
- Place signs in the parking lot directing guests to the event if needed.
- Secure additional handicap parking if needed.
Attendance:
- Determine what time you're opening your doors and make that information available for potential attendees. (Be sure to review the pre-event information below.)
- Have plenty of ushers on hand to welcome attendees and direct seating.
- Place directional signs around the campus or building as necessary.
- Make sure your receptionist has all of the event information to better serve potential attendees. (Date, time, directions, etc.)
- Have staff and supplies ready for restroom re-stocking.
- Make sure there are extra chairs in case you reach capacity.
- Ensure that all areas have a clear view of the screen.
- Decide if you want to serve snacks and drinks, and set up accordingly.
HEAD COUNT: Please take a count of the actual attendance at the event. You will need this information for the post-event survey mentioned in your host agreement.
Preshow:
- Preshow footage will be available for streaming at 7:00 p.m. EDT for some time zones. This special footage will include interviews with Dave and special "backstage" material. Some locations will not see the preshow footage until approximately 20 minutes before Dave takes the stage.
- We recommend you connect to the video stream for as much of the preshow as possible, as this will create an exciting, live-event-type atmosphere for your guests as they arrive.
- There will be a special greeting from the live host location from 7:54 to 7:58 p.m. EDT that you won't want to miss!
- Prepare to give a short welcome announcement at 7:58. Make sure it's quick though, because Dave will start right at 8:00 p.m. EDT!
Post Event:
- After Dave concludes the event at 9:30 p.m. EDT, there will be a 30-minute post-show with interviews, crowd reactions, and more behind-the-scenes footage exclusively on the Fox Business Network. If you have this cable channel in your area, this is optional for you. It should be great!
- After the event ends, thank everyone for coming and dismiss the crowd.
- If your organization has an upcoming FPU class already scheduled, be available to answer questions about the class.
